Tone of Voice: How Your Cyprus Business Should Sound Online
Read your website, your last five customer emails and your most recent Instagram caption in one sitting. Do they sound like the same business? For most small companies in Cyprus the honest answer is no. The website was written by an agency three years ago, the emails are written by whoever is on shift, and the social posts come from a cousin who is good with phones. Customers notice the seams, even when they cannot name them.
Tone of voice is simply the way your business sounds in words. It is not a logo or a colour. It is the difference between "Kindly be advised that our premises will be closed" and "We're closed on Monday for the bank holiday, back Tuesday at 8". Both are correct. Only one sounds like a person you would want to buy from.
Why it matters more now than it did
Three things have changed. First, more of your business happens in writing: WhatsApp enquiries, booking confirmations, review replies, chatbot messages. Second, more people write on your behalf, and AI tools now draft a good share of it. Third, customers compare you with the next browser tab, not with how things used to be. A consistent voice makes a small business feel organised and trustworthy. An inconsistent one feels like nobody is in charge.
Find the voice you already have
You do not invent a tone of voice. You describe the one your best people already use when they talk to customers face to face. Listen to how your most liked member of staff explains a price or handles a complaint, then write down three adjectives that describe it. Keep them concrete. "Professional" means nothing on its own; "calm, direct and a little warm" tells a writer what to do.
A useful trick is the "but not" line. Friendly but not chatty. Expert but not lecturing. Relaxed but not sloppy. Each pair fixes a boundary, and boundaries are what writers, human or AI, actually need.
Write the one-page guide
Keep the guide to a single page so people actually read it. Include:
- Three adjectives with "but not" boundaries. This is the heart of the guide.
- How you address the customer. "You" and "we", first names or not, and whether Greek replies use the polite plural or the singular.
- Words you use and words you avoid. "Book" rather than "reservation request", "price" rather than "investment", no "kindly", no "as per".
- Three real examples. A good website sentence, a good WhatsApp reply, a good review response. Examples teach faster than rules.
- What never changes. How you say sorry, how you talk about money, how you handle a complaint. The tone can relax on Instagram; it should not change when things go wrong.
Greek and English are two voices, not one translation
A tone that sounds warm in English can sound childish in Greek, and a formal Greek register can read as cold in English. Write the three adjectives once, then write the examples separately in each language rather than translating them. If a bilingual website is in your plans, this is the step that keeps both versions sounding like the same business.
Use the guide everywhere, including with AI
The guide is only useful if it is in front of the people doing the writing. Give it to new staff on their first day. Send it to any agency before they write a word of your homepage. Paste it at the top of every AI prompt when you draft customer replies or blog posts; a short tone guide is the single biggest improvement you can make to AI output, because the tool stops guessing who you are. Your staff AI policy should say where the guide lives.
A twenty-minute check this week
Open your homepage, your about page, your last three customer emails and your last three social posts. Read each one aloud. Mark every sentence a real customer would never hear you say in person. Those sentences are where your voice is leaking. Rewrite the worst five using the guide and you will already sound like one business by Friday.
