Marketing Automation in Cyprus: Five Jobs to Hand to Software

"Marketing automation" sounds like something for a bank with a software department. It is not. An automation is one rule: when this happens, send that, without a person touching it. If your email tool sends a "thanks for subscribing" message, you already run one. The question for a Cyprus business is which five rules to set up next, and which jobs must stay with a human. Our CRM guide covered the pipeline; this one covers the messages that run while you are busy.

What an automation actually is

Every automation has three parts: a trigger (a form arrives, a booking is made, a job is marked done), an action (an email, an SMS, a task for a colleague) and a delay (at once, a day before, three days later). That is all. The test for whether a job belongs to software is simple: would you send the same message, with the same words, every single time? If yes, automate it. If the words change with the person, keep it manual.

Five jobs to hand over first

  • The enquiry acknowledgement. A form or WhatsApp message gets an instant reply in Greek and English: thank you, when you will answer, your hours and your phone number. At the same moment your phone gets an alert. Replying fast wins the job, and the acknowledgement buys you the hour you need.
  • The booking confirmation and reminder. Confirmation at once, reminder the day before by SMS or Viber with a one-tap reschedule. This single rule cuts no-shows more than any other. Most booking tools include it; it is often just switched off.
  • The quote follow-up. Three days after a quote with no answer, a short polite message asks if they have questions. Ten days later, a task tells you to call. Quotes in Cyprus are rarely lost to a competitor; they are lost to silence.
  • The review request. Two days after the job, delivery or visit, one message with your Google review link. Send it only to customers whose job went well, which your booking or order status already tells the system.
  • The seasonal or win-back reminder. Air-conditioning service before June, winter tyres in November, "we have not seen you for six months" with a small reason to come back. This is how repeat customers happen on purpose.

What never to automate

Complaints. Anything after the words "I am not happy". Price negotiation. A reply that pretends to be personal when it is not, which customers spot in one line and resent. Any message that needs health, financial or legal details. When an automation detects one of these, its only job is to hand the conversation to a named person quickly, and tell the customer it has done so.

Which tool, in which order

Start with what you already pay for. Booking tools, shop platforms and email tools all have reminders, confirmations and follow-ups built in; most businesses use a tenth of them. The second step is a connector such as Zapier or Make, which links a website form to a spreadsheet, a CRM and an SMS tool without code, for a few euros a month. The third step is a custom application, worth it only when the process is genuinely yours: a workshop that quotes from photos, a school that invoices by term, a rental fleet with its own rules.

Rules that keep it legal and human

Every marketing message needs consent, a sender name people recognise and a way to stop, as our SMS and Viber guide explains. Sign automated messages with a real first name. Write the Greek and English versions separately rather than translating one. Test every rule with your own phone number before it goes live, then once a month read ten messages the system sent. One person owns the list of automations; when they change a price, an opening hour or a phone number, that list is where they look first.

How you know it is working

Four numbers, once a month: the share of enquiries acknowledged within five minutes, no-shows, quotes won, and new Google reviews. Pick one rule this week, usually the enquiry acknowledgement, and add the next one when the first has run for a month without complaints.
