Online Pre-Orders: How Cyprus Bakeries and Cafés Sell Ahead
Every bakery and café in Cyprus already takes pre-orders. They live in a notebook by the till, in WhatsApp threads and in phone calls that arrive during the morning rush. Birthday cakes, trays of pastries for an office, a vasilopita for New Year, forty koulouria for a christening. The orders are real; the system is not. A simple pre-order page on your own website turns that notebook into money you can count, baked in the right quantity and paid before the oven goes on.
Why orders taken ahead are worth more
A walk-in sale depends on what is left in the display at 17:00. A pre-order is sold before you bake it, so there is less waste and a calmer kitchen. It can be paid in full or with a deposit, so the customer who "forgot" to collect their cake no longer costs you the cake. And someone who ordered once for a name day comes back for the next one, because you made it easy. Delivery apps bring orders too, but they keep a cut of every one and the customer belongs to the app. Orders through your own page are yours, with no commission and nobody between you and the person collecting.
Sell ahead what needs notice, not the whole menu
Do not try to put every coffee and sandwich online. Pre-orders work for items that need time or come in batches: celebration cakes, trays of kourabiedes and melomakarona in December, flaounes at Easter, breakfast platters for offices, a special loaf baked twice a week, boxes for a children's party. Six to twelve items are enough to start. Each one needs a photo of the real product, a short description, the sizes available and a price that includes VAT.
What the pre-order page needs
- A pick-up date and time slot. Let the customer choose a day and a window, with a clear cut-off such as "order by 14:00 for next-day pick-up" or "Christmas cakes close on 18 December".
- A daily limit. Set how many of each item you can make per day, so the page stops selling when you are full instead of you discovering twelve cake orders on a Saturday morning.
- A notes field. Message on the cake, allergies, candles, the name on the box. One box on the form, not a phone call.
- Payment. Card or Apple Pay for the full amount or a deposit, with pay-at-pick-up as an option for regulars. Our guide to payment methods for Cyprus websites covers the choices.
- A confirmation. An automatic email or SMS with an order number, the item, the date and the pick-up address. The customer stops wondering, and you stop answering "did you get my order?".
Keep the whole thing in Greek and English, and make it work on a phone first. Most of these orders are placed in the evening from the sofa.
Which tool to use
If you already have an online shop, the platform's local pick-up setting plus a date field is usually enough, as we described for restaurant websites. If you have no shop, a short order form connected to a payment link is a fine first version, and the online booking tools many salons use can handle time slots and deposits just as well for cakes. When your process is unusual, such as items that take three days, deposits that depend on the size, or orders for several branches, a custom order application built around how you actually work beats bending a generic tool. Whatever you choose, never ask customers to download an app to order a cake.
Behind the counter
The page only works if the kitchen trusts it. Print or open the next day's order list at closing time, and give one person ownership of it. Label each finished order with the customer's name and pick-up time, and keep a shelf for collections. Respect your own cut-off, because the first time you accept a "quick" late order by phone, the system is back in the notebook. Decide in advance what happens with uncollected orders and write it on the page.
Tell customers it exists
A pre-order page nobody knows about sells nothing. Put a small sign with a QR code by the till and on the window, following our QR code guide. Add the link as the Order button on your Google Business Profile and in your Instagram bio. Slip a card into every cake box. In November, send one short message to past customers that Christmas orders are open, the way we described for SMS and Viber marketing. Pair it with gift vouchers and the same page carries you through the whole festive season.
When to start
Open Christmas pre-orders by the middle of November and close them a week before you reach capacity, not the day before. Easter orders should open six weeks ahead. After the first season, look at two numbers: the share of sales that came in as pre-orders, and how much you threw away compared with last year. If you would like help building the page, talk to us.
