Returns and Refunds: A Policy Guide for Cyprus Online Shops
Most shoppers open the returns page before they pay, not after. If it is missing, vague or buried, many of them leave at the checkout. A clear policy is not a cost. It is the sentence that turns "maybe" into an order, and in Cyprus, where plenty of buyers still prefer to see a product in a shop first, it matters even more.
What the law already decides for you
If you sell online to consumers in the EU, the main rules are set for you. A buyer may cancel most orders for any reason within 14 days of receiving the goods, and then has another 14 days to send them back. You must refund within 14 days of being told, including the standard delivery charge you took, though you may wait until the parcel arrives or the buyer shows proof of posting. You can ask the buyer to pay the return postage, but only if your policy said so before they ordered.
Some items are exempt: made-to-order or personalised goods, perishable food, sealed hygiene products once opened, and digital downloads once started. Faulty goods are a separate matter. Under the legal guarantee a buyer has two years to ask for a repair, replacement or refund, and you cover the return cost. One trap: if your site never mentions the 14-day right at all, the cancellation window stretches to a year. Have a lawyer check the wording, but do not leave the page empty.
Why a generous policy usually pays
Shops fear that an easy return invites abuse. In practice few buyers use it, but nearly all of them want to know it exists. Clothing, shoes and gifts sell noticeably better with a plain "30 days, no questions" line next to the price and again at checkout. A clear process also cuts the emails that eat your afternoon, and a buyer who was refunded quickly is far more likely to order again than one who had to argue or who opened a card dispute instead.
What the returns page must say
- How long. 14 days is the legal minimum; 30 reads as confident.
- In what condition. Unworn, tags on, original box. Say what "tried on" means for shoes or swimwear.
- How to start. A short form or one email address, and what happens next.
- Who pays postage, and how much. "€4 by Cyprus Post" beats "at the customer's expense". If you ship abroad, say what applies from other countries.
- When the money arrives. "Within 5 working days of the parcel reaching us, to the card you paid with."
- Faulty or wrong items. Handled separately, at your cost, with a photo request to speed things up.
Write it in Greek and English, in the same plain voice as the rest of the site, and link it from the footer, every product page and the order confirmation email.
Make the return easy to do
The policy is the promise; the process is what people remember. Put a returns slip in the parcel, offer drop-off at any Cyprus Post office or a courier pick-up for bulky items, and share a tracking number you can both see. Send one short email when the parcel arrives and another when the refund goes out. Refund to the original payment method, and warn that card and PayPal refunds take a few days to show. For exchanges, post the new size as soon as the return is scanned at the post office rather than when it lands on your desk. That one habit turns a complaint into a compliment.
Fewer returns without hiding the policy
The cheapest return is the one that never happens. Most come from the item not matching expectations, so fix the product page, not the policy: a size chart in centimetres, photos on a real person with their height stated, a ten-second video of the fabric moving, and honest notes such as "runs small". Pack well enough that nothing arrives bent, and quote delivery times you actually meet. A late parcel is a common reason for a change of heart.
Watch two numbers
Once a month, look at the return rate by product and the reason ticked on the slip. A blouse sent back by a third of buyers has a sizing or photo problem; fix it or drop it. The handful of customers who return nearly everything can be told, politely, that future orders are final sale. That is allowed when your terms say so and you apply it fairly, and it protects the easy policy for everyone else.
